- Click + New item โ.
- Enter all relevant details you want to store (e.g., title, username, password, URL, notes).
- Set an expiration date to be reminded when the credential needs rotation.
- Click Save to create the item. โ



Tip: Place the item in the right folder so teammates can find it quickly later.
# Edit a password

Option 1: On the password card, click the ellipsis [ยทยทยท] at the bottom-left, then choose Edit.

Option 2: Click the password entry you want to change to open its details. In the top-right of the details view, select Edit.

# Delete a password

Option 1: On the password card, click the ellipsis [ยทยทยท] at the bottom-left corner, then choose Delete.


Note: Deletions may be permanent depending on your organizationโs retention settings. Confirm before proceeding. ๐๏ธ
# Copy a password
# How can I copy a password?

You can easily click on the copy icon located at the bottom right of the password card. A menu appears listing every value that can be copied for that item, and clicking one copies it to your clipboard. A Copied! confirmation is shown.
Alternatively, you can click on the particular item to open its details, then copy any field by clicking the Copy button next to it.

The copy menu only shows the values that exist for the selected item type, so what you can copy depends on the item:
- Login โ for a Password, Wifi (SSID), Software License (License Key) or Credit Card (Name Of Card) item.
- Password โ for Password and Wifi items.
- Card Number โ for Credit Card items.
- Security Code โ for Credit Card items.
- Notes โ for Secure Note items.
Tip: When an item has a URL, you can also click the website icon on the card to open it in a new window. โ๏ธ
# Generate a password
# How can I generate a password?

- Click + New item, or open an existing item and switch to Edit.
- Next to the Password field, click Generate ๐ช. The Random Password pop-up appears.
- Drag the Password length slider to the size you want, anywhere from 10 to 100 characters.
- Tick the character sets you want to include (see the options below).
- Click Generate to preview the result, then Use this password to insert it into the item. โ
- Click Save to store the item.
The generator offers six options you can mix freely:
- Upper-case โ capital letters (A, B, C, ...).
- Lower-case โ small letters (a, b, c, ...).
- Digits โ numbers (0, 1, 2, ...).
- Special โ symbols (!, $, %, ...).
- Space โ allows blank spaces inside the password, making it longer and harder to guess.
- Latin โ adds accented and extended Latin letters (for example ฦ, ส, วฎ), which greatly increases the variety of characters used.
Tip: The more character sets you enable and the longer the length, the stronger the generated password. By default Upper-case, Lower-case, Digits and Special are turned on.

# Pin a password
# How can I pin a password in KeePass Pro?

To quickly access your most important credentials, you can pin passwords at the top of your personal or shared vault. Click on the icon [๐] at the top right of the password card. The pinned item will remain at the top of your vault for quick access.

# Folders & organization
# How and where can I create folders in the vault?
Vaults have folders where all the passwords are saved. Not everyone can create folders in the vault. Only the owner who has access to the master password with a Platinum tier can create the folders.

# Search your vault
# How can I find an item quickly?

Use the Search bar at the top of the vault to locate an item in seconds. Just start typing and the list filters as you go.
The search looks across multiple fields at once (such as the title, login, URL and notes), as well as folder names, so you can find an item even if you only remember part of a detail. For your security, the password value itself is never searched.
When you search, matching folders open automatically and each folder shows how many matching items it contains, making it easy to see where your results live. If nothing matches, KeePass Pro tells you that no item was found for your search.
# Sort & filter items
# How can I sort the items in my vault?

Click the filter icon ๐ฝ next to the Search bar to change how your items are ordered. A checkmark shows which option is active.
- Alphabetical โ sorts items by name from A to Z.
- Date โ orders items by their creation/update date.
- Expires โ orders items by their expiration date, so credentials that need rotating soonest are easy to spot.
