# Contacts Pro Q&A
Quick answers to the questions teams ask most about Contacts Pro. If you are just setting up the app, start with how to add your first contact.
# Pricing and licensing
# What plans does Contacts Pro offer?
Contacts Pro comes in three tiers:
- Free (Basic): view, edit, delete, and search across the first 100 contacts in the shared contact book.
- Premium: import, export, view, edit, delete, and search across up to 1,000 contacts.
- Platinum: unlimited contacts, advanced permissions, the Power Automate connector, and API access for developers.
The Mixed Tier Usage in Contacts Pro limits page explains exactly how these limits apply when users on different tiers share the same contact book.
# Who needs a paid license?
Only users who rely on the higher contact limits or advanced features (advanced permissions, the Power Automate connector, and API access) need a Premium or Platinum license. Free users can still view, edit, and manage the first 100 contacts in a shared book.
# What happens when I reach the contact limit?
When a book reaches 1,000 contacts, Contacts Pro shows a Contact Limit Reached message. To add more contacts and unlock unlimited storage, advanced permissions, the Power Automate connector, and API access, upgrade to Platinum.
# Where do I buy or manage my subscription?
In the Teams-Pro Admin Center (opens new window), where you handle billing, seats, invoices, and upgrades. Compare plans first, then complete checkout and manage billing in the Admin Center.
# Features and usage
# How do I add a contact?
Select New, then fill in the fields you need, such as Full Name, Job Title, Company, Department, Email, phone numbers, addresses, notes, and social links (LinkedIn, Facebook, X). Select Create to save.
# How do groups work?
Use New Group or Group Administration to create groups, then add contacts to them. Groups help you organize the shared book by team, project, department, or any grouping that fits your organization. You can duplicate a group by giving the copy a unique name.
# What display modes are available?
Contacts Pro offers three views you can switch between from Display Mode: Card, List, and Group. Pick the view that best fits how you want to browse the shared book.
# How do search and filter work?
Search by Name, Job, Company, Department, Notes, Groups, or Address to find what you need. The number of contacts you can search across depends on your tier: the first 100 on Free, up to 1,000 on Premium, and all contacts on Platinum.
# Can I import and export contacts?
Yes, using Excel:
- Import: download the Excel template, fill it with your contacts, then select Import Contacts and choose your completed file. Only Excel files are accepted.
- Export: select Export Contacts to export your book. Once the export finishes, you receive the file by email.
# Can I share my contacts directly with Outlook?
No. Contacts Pro has no native Outlook sync, no "share to Outlook" button, and no vCard (.vcf) export. To move contacts into Outlook, export them to Excel, save the file as CSV, then use the Import option in Outlook People.
# Can I start a chat, send an email, or plan a meeting from a contact?
Yes. From a contact card you can Start a Chat, Send an Email, Plan a Meeting, or place a Phone call, as long as the contact has the matching valid detail (email, phone number, and so on).
# Can I use Power Automate with Contacts Pro?
Yes, on the Platinum tier. You need a Teams Pro Graph API key, your Contacts Pro application identifier (from About), and a Power Automate Premium subscription. Actions such as Get all contacts are then available in your flows.
# Can I connect Contacts Pro with Map Pro?
Yes. Copy the unique identifier from About in Contacts Pro, then in Map Pro open Connect, select Contacts Pro, paste the identifier, and select Save.
# Permissions
# What permission modes are available?
From the settings icon, open Permissions and choose one of three modes:
- Everybody in this channel can add/edit/delete contacts and groups.
- Only the owners of this Contacts Pro can add, edit, and delete contacts and groups.
- Customize permissions, where you grant each member specific Add, Modify, and Delete rights.
# Why can I not add, edit, or delete contacts?
Your book is likely set to owners-only or custom permissions, and you have not been granted those rights. Ask a Contacts Pro owner to grant you the Add, Modify, or Delete permission you need.
# Data and compliance
# Where is my data stored?
Contacts Pro data lives within your Microsoft 365 and Microsoft Azure environment. The Teams-Pro services are hosted in the EU (Ireland) on Microsoft Azure.
# Is Contacts Pro GDPR-compliant?
Yes. Contacts Pro follows the same GDPR commitments as the rest of the Teams-Pro suite.
# Can I recover deleted contacts?
# Troubleshooting and support
# My import failed. What should I check?
Only Excel files are accepted for import. Start from the built-in Download Template, fill it with your contacts, and import that file. Other formats are rejected.
# I cannot upload a profile picture.
Profile images must be .jpeg or .png, in landscape format, and no larger than 5 MB. Resize or convert your image and try again.
# My app or tab is not opening in Teams.
This usually stems from tenant policies. Ask your IT team to check for:
- App registration disabled
- Enterprise application disabled
- A new or changed Conditional Access policy
- Admin consent revoked
- A tenant-wide setting disabled
# How do I reach support, and what should I include?
Contact us in the chat inside the Teams-Pro Admin Center (opens new window). To speed things up, please include:
- Your plan (Free, Premium, or Platinum)
- Your role (IT admin, user, and so on)
- A detailed description of the issue
- When it started (date and time, or after a specific change)
- A screenshot or recording of the issue
