# Pricing and licensing

# Who needs a license?

Only users who use advanced features (for example, custom permissions or calendar sync) need a paid license. Free users can still view shared calendars.

# What is included in Free, Premium, and Platinum?

  • Free (Basic): shared calendar, Month, Week, Day, and Agenda views, unlimited single events, event colors, up to 3 rooms, calendar cloning, and Teams notifications on add, update, and delete.
  • Premium: everything in Free, plus recurring events, tags, file attachments and event locations, personalized views (business days and public holidays), owners-only permissions, one-click copy to Outlook, more than 3 rooms, and support.
  • Platinum: everything in Premium, plus Meeting Scheduler, custom permission roles, calendar-to-calendar sync, automatic Outlook sync, and the API and Power Automate connector.

# Is there a free trial?

Yes. You get a 1-month trial with all Platinum features, no upfront payment, and unlimited licenses during the trial.

# Where do I buy or manage my subscription?

In the Teams-Pro Admin Center (opens new window), where you handle billing, seats, invoices, and cancel or reactivate. Compare plans on the product page first, then complete checkout and manage billing in the Admin Center.

# Can I combine multiple subscriptions into one payment?

Yes. Move to a single subscription with the total number of licenses you need, then cancel the older individual subscriptions.

When we cancel the older subscriptions, any unused proration is lost and cannot be reinstated.

# How do I upgrade my subscription?

Use the Teams-Pro Admin Center (opens new window) to upgrade.

If you buy a single Premium or Platinum seat, only the licensed user gets premium creation features. Other members can usually still view the results.

# How do I update my credit card?

  1. Open the Teams-Pro Admin Center (opens new window).
  2. Click your profile icon or name at the top right, then select Billing.
  3. Click Payment methods.
  4. Select Add payment method, enter your card and billing details, and click Save.

# Where can I download invoices?

  1. Open the Teams-Pro Admin Center (opens new window).
  2. Click your profile icon or name at the top right, then select Billing.
  3. Click Billing History.
  4. Click Download next to the invoice you need. The file downloads automatically.

# Features and usage

# Does Calendar Pro support Outlook, Gmail, and .ics sync?

Yes. Calendar Pro supports two-way sync with Outlook, Gmail, and .ics-compatible calendars. Sync is plan-dependent, and automatic Outlook sync is a Platinum feature.

# How do notifications work?

If enabled in Settings > Notifications, Calendar Pro sends Teams activity notifications when events are added, updated, or deleted. Per-user notification preferences are handled by Teams.

# Can I print or export a calendar view to PDF?

Yes. Use Settings > Print and select your system's Save as PDF option. The output reflects the current Day, Week, or Month view.

# Do color coding and tags show for everyone?

Yes. Colors and tags are visible to all participants in that calendar. Tags are part of advanced events, available on Premium and Platinum.

# What permission modes are available?

Three modes:

  • Everybody can edit (all plans).
  • Only owners can edit (Premium).
  • Custom permissions (Platinum), where you define who can edit events, sync calendars, and use the Meeting Scheduler.

# Can I duplicate a calendar to another channel?

Yes. Calendar cloning is supported. A clone is a copy, not a live sync. Use calendar sync when you need ongoing updates across calendars.

# How do I sync a Calendar Pro calendar to Outlook?

In Outlook, choose Add a calendar, then Subscribe from web, paste your ICS link, and click Import.

# Data, storage, and compliance

# Where are my files and data stored? Is it GDPR-compliant?

Event attachments live in your Microsoft 365 environment (Teams SharePoint and OneDrive). Calendar Pro states GDPR compliance and data storage and recovery on the product page.

# Can I recover deleted events?

Yes. Data recovery for deleted events is available.

# Time and regional settings

# Do public holidays and time zones adjust automatically?

Yes. Changing the calendar time zone updates the displayed times and switches the public-holiday set to the new region.

# Integrations and automation

# Is there an API or Power Automate connector?

Yes. Calendar Pro provides an API and a Power Automate connector for bookings and automation. Both are Platinum features.

# Access and external collaboration

# Are your apps restricted for external users?

Not by default. Access for guests and external users depends on your Microsoft 365 external collaboration policies in Teams. See the Microsoft guidance on how to communicate with users from other organizations.

# Troubleshooting and support

# My app or tab is not opening in Teams (the title shows but it will not open, or it is missing on mobile).

This usually stems from tenant policies. Ask your IT team to check:

  • App registration disabled
  • Enterprise application disabled
  • A new or changed Conditional Access policy
  • Admin consent revoked
  • A tenant-wide setting disabled

# Calendar Pro is not working. What should I send to support to speed things up?

Contact us in the chat inside the Teams-Pro Admin Center (opens new window). Please include:

  • Your plan (Free, Premium, or Platinum)
  • Your role (IT admin, user, educator, HR, and so on)
  • A detailed description of the issue
  • When it started (date and time, or after a specific change)
  • Whether you are a tab owner, plus the Tenant ID and channel name if possible
  • A screenshot or recording of the issue

# We changed tenants (Microsoft 365 migration). Can we move existing calendars?

You have two options:

  • Recreate the calendars manually in the new tenant (no fee).
  • Use the paid migration service handled by our team. The quote depends on how many calendars you need to move, so tell us the count to receive a quote.
